1. Booking & Confirmation

A booking is confirmed only upon receipt of a completed client agreement and, for first-time clients, a 50% non-refundable deposit. The deposit will be applied to the balance due at the time of service. Appointment slots are not held without a completed booking and deposit where required.

2. Payment

Payment is due in full at the time of service (shoot day) unless alternative arrangements have been agreed upon in writing prior to the appointment. Accepted payment methods include Zelle, ACH bank transfer, and credit card. Invoices unpaid after 7 days are subject to a late fee of $25 per week.

3. Cancellation & Rescheduling

Cancellations made with less than 24 hours notice will forfeit any deposit paid. Rescheduling requests made with less than 24 hours notice may be subject to a $50 rescheduling fee. Cancellations due to property not being ready, inaccessible, or unsafe will be treated as a late cancellation. We reserve the right to cancel and reschedule appointments due to unsafe weather conditions, airspace restrictions, or other circumstances beyond our control at no charge to the client.

4. Photo Delivery & Count

Standard delivery is within 48 hours of the shoot unless otherwise stated. Photo counts are not guaranteed to a specific number and are at the photographer’s professional discretion based on the property, its features, and shoot conditions. Clients with specific photo count requirements must communicate those requirements in writing prior to booking confirmation. Same-day delivery is available for an additional fee of $75 — must be requested at time of booking.

5. Drone Operations

All drone operations are conducted by an FAA Part 107 certified pilot. Drone photography is subject to location airspace clearance, property accessibility, and day-of weather conditions including wind, precipitation, and visibility. If drone flight cannot be safely or legally completed on shoot day, Republic Media Co. will notify the client and may offer a return visit or substitute virtual dusk imagery. No refund will be issued solely due to drone flight restrictions beyond our control.

6. Image Use & Licensing

Republic Media Co. retains copyright to all images produced. Upon payment in full, clients receive a non-exclusive license to use the delivered images for marketing the specific listed property, including MLS listings, social media, print materials, and property websites. Images may not be resold, transferred to third parties, or used for purposes beyond the original listing without written permission. Republic Media Co. reserves the right to use images for portfolio, marketing, and promotional purposes unless the client requests otherwise in writing prior to the shoot.

7. California AB 723 Disclosure

California Assembly Bill 723 (effective January 1, 2026) requires disclosure when listing photos have been materially altered through digital manipulation, including sky replacement, significant object removal, or AI-generated content. When Virtual Dusk, virtual staging, or digital object removal is included in a delivery, Republic Media Co. will note which images have been digitally altered. The client and listing agent are solely responsible for ensuring appropriate disclosures are included in any MLS remarks, listing agreements, or marketing materials as required by law.

8. Property Access

Clients are responsible for ensuring the photographer has safe and lawful access to the property at the scheduled shoot time. For vacant properties, access codes or key arrangements must be provided at least 24 hours before the shoot. Delays caused by inaccessible or unprepared properties may result in a shortened shoot or a rescheduling fee.

9. Property Preparation

A preparation list will be provided at the time of booking. The photographer is not responsible for the condition of the property on shoot day. Decluttering, staging, and cleaning the property prior to the shoot is the client’s responsibility. The photographer will exercise professional judgment in framing shots to minimize unfavorable conditions but cannot guarantee results on unprepared properties.

10. Limitation of Liability

Republic Media Co.’s liability in connection with any service is limited to the total amount paid for that service. We are not liable for delays, losses, or damages resulting from circumstances beyond our control, including weather, equipment failure, or access issues. We are not liable for how delivered images are used or disclosed by the client or listing agent.
